1. President

  • Plans the agendas for the meetings, sends the invites, and chairs the meetings
  • Makes sure that everything is running smoothly; informs and motivates the members of the section
  • Is ultimately responsible for the sections’ image, events, documents, etc.
  • Makes sure that the rules of ESN Bilkent are being followed
  • Keeps in touch with the Student Union, the BilkenUniversity, ESN Turkey, and other ESN sections
  • Collects the annual report and sends it to the auditors a month before the Association Meeting in the autumn
  • Collects the annual plan before the Association Meeting in the autumn
  • Represents the section on different occasions together with the Local Representative and other board members
  • Follows the president's email and different Facebook groups

2. Vice President

  • Helps the president to plan the agendas for the meetings
  • Makes sure that everything is running smoothly and that everyone knows what they are supposed to do
  • Is responsible for training, informing, and motivating the members of the section with the President
  • Takes responsibility if the president is unable to take part in meetings
  • Makes sure that the rules of ESN Bilkenare being followed
  • Keeps in touch with the Student Union, the University, ESN Turkey, other ESN sections, and partners (a shared task with the President)
  • Keeps contracts with Office and other possible partners updated (a shared task with the President)

  • General knowledge of ESN as an organization will be useful, but not required

3. Local Representative

  • Represents ESN Bilkenin different events by e.g. ESN Turkey or ESN International
  • Participates in the monthly Council of Local Representatives 
  • Shares information was given by ESN Turkey and ESN International with the board
  • Keeps ESN Bilkenupdated about ongoing issues

Requirements

  • Good cooperation and communication skills
  • Ability to attend events occasionally on e.g. weekends in other cities
  • Interest is not only local ESN matters but also national and international

4. Treasurer

  • Is in charge of financial matters and accounting
  • Keeps the accounting books up to date
  • Weekly duties include paying invoices and reimbursements for the actives; depositing cash in the bank occasionally
  • Monitors incomes and expenses in accordance with the budget
  • Takes care of money-related applications, such as Timetravels commissions
  • Sends the financial statements (income statement, balance sheet, accounting books, receipts, invoices, etc.) to the auditors 3 weeks before the Association Meeting in the autumn
  • Presents the financial statements (income statement, balance sheet) at the Association Meeting in the autumn and plans a budget for the financial year

Requirements

  • Accounting or business experience – or strong interest
  • Punctuality
  • Weekly commitment for updating the accounting books

5. Communications Manager

  • Is in charge of ESN Bilkent's social media accounts and promotion
  • Creates the content for the social media posts
  • Answers to the messages ESN Bilkenreceives on social media and via email
  • Takes care of the recruitment campaign
  • Cooperates with other board members when trips, events, or parties need to be promoted
  • Prepares statements if needed
  • Makes sure that ESN Bilkent's content follows the visual guidelines of ESN
  • (Not mandatory, but encouraged): Executes a communications campaign around a topic relevant for ESN

Requirements

  • Good writing and marketing skills
  • Good skills in English
  • Social media knowledge (Facebook and Instagram are mandatory)
  • Experience in photo editing

6. Event Coordinator

  • Is in charge of all the events in general
  • Finds organizers and helpers for the event (other board members and active members)
  • Makes sure that the ESN actives know what to do at events
  • Makes sure that everything runs smoothly
  • Participation in all events is not required, but supervision of the planning is a must
  • Makes sure that all the events in the Annual Plan are organized by the members
  • Creates Facebook events and makes background pictures and writes descriptions for them
  • Promotes events on Facebook
  • Creates sign-up forms and sends letters to the participants (or helps the organizers of the event with these tasks if needed)
  • Keeps track of all organized events to be able to send a yearly Events Calendar to Exchange Office
  • Comes up with event ideas
  • Works together with the other coordinators (SocialErasmus & ExchangeAbility, ResponsibleParty, Parties, Trips, Buddy Project)
